Users
We’ve found that our users who invite their co-workers to join them in BevSpot run faster, more efficient inventories, and see increased profits over time. The biggest benefit to having multiple users with their own account, is that they can take inventory at the same time.
However, the only people that can invite new users to a BevSpot account and control permissions are Admins. Read on for more details on how to customize permissions depending on each person's responsibilities.
Invite User
- As an Admin, select the Settings dropdown on the left side menu.
- Select Users.
- Click the blue Invite User button in the top right.
- Enter the email of the person you wish to invite to the account, and check the box for Invite as admin? if you would like the user to have that permission.
Your colleague will get an email inviting them to join the account with a password and mobile phone #. Once they accept, they will appear on this list and you will be able to manage their permissions within the account from this page.
*IMPORTANT* - This invite process is for totally new users to BevSpot who do not have an existing user account with the email on the invite. If someone already has access to a BevSpot account in a group and needs to be added to another location, they can be added to that location from the Group Users page.
User Permissions
The permissions on this page can be customized to manage who can access/utilize certain parts of the BevSpot account:
- Edit Finalized Inventory — if checked, the user will be able to make edits to finalized inventories. If this permission is not checked, then this user will only be able to export a finalized inventory.
- Admin — if checked, the user will become an admin. Admins can access the account in full, including the ability to create and delete other users (including other admins). Only an admin can make another user an admin, or remove admin privileges.
- Access — if checked, the user has access to Items & Inventory.
- Can Order — if checked, the user has access to Orders. This permission requires that the Access permission is also checked.
- Sales Reports — if checked, the user will be able to access Sales and Recipes. This permission requires that the Access permission is also checked.
- Invoice — if checked, the user can request to receive invoices from BevSpot for location subscriptions.
- Inventory Transfer — if checked, the user will be able to transfer inventory TO and FROM this account, as long as Access is also checked. If this is the only permission selected, then the user can only transfer TO this location from a different one and has no other access.
For any Admin users that have a question mark next to that permission, this indicates that they are a Group Admin and can also manage access and permissions at a higher level (multiple locations).

Removing a User
If you need to remove a user from a location, select the three vertical dots next to the Update button for that user and select Remove User. Note that only Admins can remove users from accounts.
